Microsoft Outlook 2010 Tip - Quick Steps

There are several new features of Microsoft Outlook 2010 that can increase user productivity and organization. One of the most useful time saving features of Outlook 2010 is the ability to setup Quick Steps. A Quick Step takes a multi-step task that you would do frequently and turns it into a click of the button. For example, you receive an email that you need to reply to and would like to delete it when you are done. There is a Quick Step that will bring up the reply email and delete the original email automatically for you. Quick Steps can be customized to pretty much any task you need to do frequently in Outlook.

The second feature I would like to highlight is a new Calendar view called the Schedule View. This view moves the people's names to the side of the calendar and the hours of the day to the top of the calendar. This view is extremely useful when you need to do scheduling for multiple people. This view also limits the time to only the business hours not the full 24 hours.

The last feature is the E-mail rules. This is not new to Outlook 2010 but they have improved it dramatically over how it works in previous versions of Outlook. The interface for the advanced rule features is much easier to use. For example, you have an email highlighted in your inbox that you would like to create a rule to mark as read and move to another folder. The interface is going to assume you want to make a rule about the highlighted email, so it automatically puts the FROM address and the subject line in the filters you can possibly use. The other improvement they have made is that the rules will continue to run even if you do not have Outlook open, which older versions did not do.
